FAQ on the SaaS cost calculator

Your question isn't here?

Ask directly
How does the SaaS cost calculator work?
It takes the list price of your SaaS plan with monthly billing times the number of users, or the fixed monthly price for flat plans. Against that it sets the monthly cost of running the open-source alternative and the one-time setup. It shows the savings as a range per month, in year one and over three years.
What does operation include?
Servers in Germany, installation, updates, encrypted backups and monitoring. Where the amount lands within the range depends mainly on the number of users, the data volume and the availability you need.
Why do operation and setup count only once per open-source tool?
If you replace Microsoft 365 and Dropbox, for example, both run on one Nextcloud. The calculator groups such cases and sizes the range by the largest team.
Is open source worth it for small teams?
Not always. With few users and low-priced plans the SaaS subscription is often cheaper, and the calculator says so. The reasons for open source are then data ownership, GDPR and independence from vendor price increases.
Can the open-source alternative do everything my SaaS tool does?
Mattermost, Nextcloud, Twenty, n8n or Zammad cover the daily work of most teams. Some features are missing or work differently, such as the AI features in Microsoft 365 or special reports in Salesforce. Local language models via Ollama are weaker than the latest models in ChatGPT. We clarify what matters to you before the migration.
How do we get our data out of the SaaS tool?
Most vendors offer an export or an API. We check up front what can be moved, such as files, contacts, tickets or messages, and plan the move so the old tool keeps running until the switch.

Is the switch worth it for you?

30 minutes on your SaaS costs: we check which tools can be replaced and what the migration takes.
