Where wholesale gets stuck

Four typical problem areas between shop, ERP and inside sales.

  • Prices and stock don't match everywhere

Customer-specific terms live in the ERP, the shop shows something else. Inside sales fixes it by hand.

  • E-invoicing is around the corner

From 1 January 2027, companies in Germany with more than €800,000 in prior-year turnover must issue e-invoices for domestic B2B sales. It is often unclear whether the shop or the ERP is responsible.

  • Inside sales is retyping

Orders by email and PDF, availability requests, quotes: routine work ties up experienced people. At the same time, 34% of the wholesalers surveyed plan to cut jobs in the second half of 2026.

  • Systems that grew over time

An old shop, in-house builds, isolated tools after acquisitions: every change turns into a project.

What this can look like

Three typical starting points in wholesale and how shop, ERP and AI work together.

  • Example scenario

Electrical wholesaler with Shopware and Business Central

Customer-specific prices come live from the ERP. The ERP creates invoices compliant with EN 16931 and the shop makes them available in the customer account.

  • Example scenario

Technical wholesaler with many PDF orders

An AI agent reads incoming orders, matches items and customer number and creates a draft order in the ERP. Inside sales only checks the exceptions.

  • Example scenario

    Wholesale group after an acquisition

The acquired site is integrated step by step into the group's shop and ERP, and master data is consolidated.

Example scenarios, not customer references. They describe typical workflows, not a specific project.

Frequently asked questions

Your question isn't here? Ask us directly

Should my shop or my ERP create e-invoices?
That depends on your system landscape. In B2B wholesale, the ERP often creates the e-invoice and the shop makes it available in the customer account. What matters is that mandatory details are passed cleanly between shop and ERP, for example the Leitweg-ID for public-sector customers.
When does mandatory e-invoicing apply to us?
All domestic companies in Germany have had to be able to receive e-invoices since 1 January 2025. Companies with more than €800,000 in prior-year turnover must issue them from 1 January 2027, all others from 1 January 2028. Existing EDI procedures that do not count as e-invoices remain allowed until the end of 2027. This is set out in the German Federal Ministry of Finance FAQ (as of March 2026). Please check your specific situation with your tax advisor.
Which ERP systems do you work with?
We connect ERP systems through their interfaces, for example Microsoft Dynamics 365 Business Central, SAP Business One or industry ERPs. Which option fits, we clarify in the intro call.
What can an AI agent actually do in inside sales?
Typical tasks are capturing orders from email and PDF, drafting quotes and answering availability questions. Critical steps stay with your team. The agent prepares, a person approves.
We still run an older shop. Is a fresh start worth it?
Not always. We check whether a migration to Shopware 6 or a targeted modernisation of integration and processes is more economical.
